How we are helping event organisers at the University plan their next event

Being asked to organise a conference, meeting or away day may seem initially to be an exciting challenge but can be quite daunting. I have been part of a great Conferences and Venues team here at the University for many years, with the team itself clocking up over 40 years of hosting events so I’d like to think we know a thing or two about how our venues can work for different clients.

We host 100’s of events each year in a range of inspiring and dedicated venues, from small away days for a departmental team through to international association conferences for 1000 delegates.

Over the years, we have seen a more commercial focus from our University departments and academics who need to make sure that the meetings and events they organise are professionally run and generate income, so how can we help? Well our key objective is to make it a seamless process so that when University event organisers get in touch we offer them the right advice and support from their initial contact right through to being on hand when the event takes place, giving them the confidence of running a successful event.

Keeping it on Campus

The first point of contact is usually an enquiry into our Sales Office, but there are many other ways our team offer their expertise. Back in 2011, we devised a campaign to encourage University colleagues to use University venues and catering services rather than take money outside of the University. By keeping money inside the University, using our own teams and facilities, we save the University money. To drive home the message we imaginatively called the campaign” Keep It On Campus.”

Every year since the campaign started, the team have held an event, our Keep It on Campus day, which has become a great way of demonstrating the outstanding and diverse facilities on offer across the 4 campuses of the University. It gives our University colleagues the opportunity to meet the whole of our Conferences and Venues team and learn more about the support we can provide as well as enjoying the latest menus from our Taste Manchester and Chancellors catering team. The day has become so popular that we now run the day over 2 days in January.

Leading the way

Whilst our team are not expert trainers, we do organise and present an event planning workshop twice a year. This offers more formal support to University colleagues, particularly useful if they are new to the University and have never organised an event before as we take them through the process of planning their event, how to book on campus, the range of University venues, the in-house support that is available to them, and also ways to boost their attendance and engage their audience.

Taking the strain

Our team also understand the pressures that University colleagues can be under, trying to do their normal day job as well as organising an event, and sometimes it’s just not feasible or practical to be involved with everything and this is where our ConferCare service can help. There are different levels of services- Gold, Silver and Bronze packages- which are competitively priced and allow colleagues to determine the level of service that they need to ensure their event is well organised and efficiently run.

Our Keep it on Campus philosophy can also be attractive to external companies and organisations who wish to see not only great value and inspiring surroundings for their events but also knowing that the income derived from the University hosting their events helps to pay for world class research to solve global problems that affect us all.

The success of our Keep it on Campus campaign cannot be underestimated. Year on year we see a strengthening relationship between our team and University colleagues who know that wherever possible it makes not only financial but practical sense, knowing that they are supported every step of the way.
