How to Book Accommodation Worldwide

ConferCare, part of the Directorate of Estates and Facilities at The University of Manchester can now take even more of the hassle out of your travel arrangements by being able to offer a world-wide hotel booking service. There are many benefits:

  • Room rates will be better than booking direct with the hotel
  • More business will keep rates lower
  • The University can be invoiced so there is no need to put in a claim via fees and expenses
  • Less time-consuming, as we will source the hotel rooms for you

You can enquire online using the form below. If you choose to phone or email, we need the following information:

  • Faculty abbreviation (EPS, FLS, HUM, MHS or for non-faculty please use ADMIN)
  • Your name, phone number & email address
  • Location & any preference of hotel or an idea of star rating
  • Number & type of rooms required
  • Date of arrival & number of nights
  • Guest name(s)
  • Budget (if applicable)
  • Any special requirements, e.g. disabled access

Accommodation Booking Form

ConferCare, part of the Directorate of Estates and Facilities at The University of Manchester can now take even more of the hassle out of your travel arrangements by being able to offer a world-wide hotel booking service, which can be invoiced back to the University. How to make a booking

We will contact you with the possible options for you to make your decision, at which point we will require the Oracle finance code. ConferCare will raise the requisition on your behalf, but the booking will not be confirmed until approval for the requisition has been received.

Confirmation

Upon confirmation you will receive a confirmation of booking. Any amendments or cancellation will need to be notified to ConferCare who will be responsible for paying all invoices.

How to amend or cancel a booking

To amend or cancel a booking call 64082 or email . In the event of an amendment, the necessary changes will be made to your booking and you will receive a revised confirmation. Cancellations must be made in writing 24 hours before you are due to arrive, or before 4pm on Friday if you are due to arrive at some point over the weekend, to avoid cancellation charges.

Non arrivals

Your booking is automatically guaranteed for late arrival. If you do not arrive you will be liable for the cost of the room or rooms, as per the hotel's non-arrival policy.

Payment

The University of Manchester will be invoiced for the bed and breakfast charges only. Any extra charges must be settled with the hotel direct.

Please note that this expenditure will not be picked up when running reports based on the school alpha, but will be when running an account/project code report.
